Booking Terms & Conditions
Thank you for choosing SMI Farm House. To ensure a smooth, well-organized, and enjoyable event experience, please review our booking process, payment terms, venue rules, and guest responsibilities before confirming your reservation.
Important: Submitting a booking request through website, WhatsApp, phone call, or any other channel does not confirm your reservation. Your booking will only be confirmed after date availability verification, management approval, and advance payment.
Booking Process
- Submit Your Booking Request
Fill out the event booking form with your preferred date, time, event type, guest count, food requirements, dining setup, and special arrangements. - Availability Confirmation
Our team will contact you through WhatsApp or phone call to confirm availability and discuss your event details. - Advance Payment
A minimum advance payment of 50% is required to confirm your booking. - Event Planning
Menu, decoration, seating arrangement, photography, indoor area usage, and other services must be discussed and finalized with our team before the event. - Final Payment
The remaining balance must be paid on the event day before the event concludes. - Enjoy Your Event
Arrive on time and enjoy your celebration while our team manages the event arrangements.
Booking Confirmation
- All bookings are subject to date and time availability.
- All event arrangements must be approved by SMI Farm House management.
- A booking will only be confirmed after approval from management and advance payment.
- A minimum 50% advance payment is required to confirm the booking.
- Verbal discussion, WhatsApp inquiry, or form submission does not confirm your booking unless advance payment is received.
- SMI Farm House reserves the right to accept, reject, or hold any booking request based on availability and management policy.
Payment Terms
- A minimum 50% advance payment is required at the time of booking confirmation.
- The remaining payment must be paid on the day of the event before the event concludes.
- Any additional services, extra guests, extended timing, food changes, decoration changes, or special arrangements will be charged separately.
- All pending dues must be cleared before leaving the venue.
- Management may stop or limit services if payment terms are not followed.
Event Timing
- Guests must follow the confirmed event timing strictly.
- Guests are requested to arrive on time according to the confirmed event schedule.
- Late arrival does not automatically extend the event duration.
- All event activities must be completed before 10:00 PM, unless otherwise approved by management.
- Extra time, if allowed by management, may be charged separately.
- SMI Farm House reserves the right to close event activities after the approved time.
Guest Count & Extra Guests
- The number of guests must be confirmed before the event.
- Additional charges will apply if the number of guests exceeds the confirmed booking.
- The client must inform management in advance if the guest count is expected to increase.
- Entry may be managed according to the confirmed guest count and event arrangement.
- All event guests must enter through the designated entrance gate only.
Food & Dining Arrangements
- Food arrangements must be discussed and confirmed before the event.
- Food pre-booking is required where applicable.
- Menu items, serving style, dining setup, and guest count must be finalized in advance.
- Last-minute menu changes may not be possible.
- Guests with food allergies or special dietary requirements should inform management before the event.
- Any delay caused by late food confirmation, menu changes, or guest count changes will not be the responsibility of SMI Farm House.
- Outside food is not allowed without prior management approval.
Decoration & Setup Policy
- All decoration and setup arrangements must be approved by SMI Farm House management.
- No ropes, nails, tape, stands, poles, or decorative materials may be attached to walls, trees, grass, furniture, lights, or venue property without permission.
- Do not move, remove, or alter decorations without management approval.
- Electrical systems, lighting, sound systems, and fixed installations must not be disturbed without approval.
- Outside vendors, performers, decorators, photographers, or service providers require prior management approval.
- Any damage caused during decoration, setup, or event execution will be charged to the client.
Venue Guidelines
- Please keep the venue clean and use the provided dustbins.
- Respect the farmhouse property, decoration, furniture, plants, grass, lighting, and natural environment.
- Guests are expected to behave respectfully toward staff, other guests, and venue property.
- Illegal, dangerous, or inappropriate activities are strictly prohibited on the premises.
- Do not enter restricted areas or areas reserved for staff only.
- Children must be supervised by adults at all times.
- Keep children away from risky or restricted areas.
- Please do not disturb birds, animals, plants, or natural surroundings.
- Maintain a reasonable sound level during the event.
- Please follow the reserved event timing strictly.
- Vehicles must be parked only in designated parking areas.
- Do not touch lights, electrical systems, sound systems, or technical equipment.
- Smoking is allowed only in designated smoking areas.
- Please follow staff instructions and cooperate with the management team.
- Enjoy your event while respecting the peaceful environment of the farmhouse.
- Help us maintain this beautiful venue for future guests.
- Create memories, not mess. Please leave the venue clean and tidy.
Music, Qawwali & Sound Policy
- Loud music, Qawwali, DJ, dance performances, or similar activities are not allowed without prior approval.
- Sound volume must remain within acceptable limits.
- Management may reduce or stop sound if it violates venue rules, timing limits, or local restrictions.
- Any sound system or technical setup must be approved before the event.
Fireworks & Special Activities
- Fireworks, firecrackers, pyrotechnics, or fire-related activities are not allowed without written permission.
- Any special activity, performance, outdoor setup, or entertainment arrangement must be discussed before the event.
- Unsafe, harmful, illegal, or inappropriate activities are strictly prohibited.
- SMI Farm House reserves the right to stop any activity that may cause damage, disturbance, or safety risk.
Photoshoot & Indoor Area Usage
- Photoshoots are allowed only in approved areas.
- Indoor areas may only be used for photography or shooting with management approval.
- Guests must avoid disturbing event arrangements, decorations, furniture, or restricted areas during photoshoots.
- Commercial shoots, brand shoots, or professional content creation may require separate approval and charges.
Parking, Entry & Personal Belongings
- Vehicles must be parked only in designated parking areas.
- Guests must follow parking staff instructions.
- SMI Farm House is not responsible for personal belongings, valuables, or items left inside vehicles.
- SMI Farm House is not responsible for lost, stolen, or unattended personal belongings.
- Entry may be managed through a single guest entry gate for event control and safety.
- Guests are requested to avoid blocking pathways, entrances, or emergency access areas.
Damage & Client Responsibility
- The person making the booking is responsible for ensuring that all guests comply with these terms, booking rules, and venue guidelines throughout the event.
- The client is responsible for any damage caused by guests, decorators, vendors, photographers, performers, or service providers invited by them.
- Any damage to farmhouse property, furniture, decoration, plants, grass, lighting, crockery, equipment, buildings, or venue property will be charged separately.
- Management’s decision regarding damage assessment and charges will be final.
- Only event owners or authorized representatives may give instructions to the SMI Farm House team.
Weather, Utilities & Unavoidable Situations
- SMI Farm House is not responsible for delays, inconvenience, or changes caused by weather conditions, natural events, or circumstances beyond management's control.
- SMI Farm House will make every reasonable effort to maintain utilities and services but cannot guarantee uninterrupted service due to circumstances beyond its control.
- In case of rain, strong wind, power issues, technical issues, or any unavoidable situation, management will guide guests according to available arrangements.
Cancellation & Refund Policy
- Cancellation and refund terms depend on the booking type, event date, and arrangements already made by SMI Farm House.
- Advance payment may be non-refundable if cancellation is made close to the event date.
- Refund or adjustment requests will be reviewed by management.
- If food, decoration, staffing, or special arrangements have already been prepared, relevant charges may be deducted.
- Date change requests are subject to availability and management approval.
Note: Final cancellation, refund, adjustment, or date change decisions will be handled by SMI Farm House management based on the booking situation.
Website Use
- Information provided on this website is for general guidance and booking support.
- Prices, packages, services, policies, and availability may change without prior notice.
- Submitting a form through the website does not guarantee booking confirmation.
- SMI Farm House is not responsible for technical errors, delayed messages, or incomplete form submissions caused by third-party services.
Management Rights
- SMI Farm House reserves the right to update booking rules, pricing, packages, services, policies, and venue guidelines when required.
- Management may stop any activity that is unsafe, inappropriate, damaging, illegal, or against venue rules.
- Management reserves the right to refuse service in case of misconduct, non-payment, rule violation, illegal activity, or damage to property.
- Management decisions regarding event control, safety, damage, refund, and venue usage will be final.
Agreement
By confirming a booking with SMI Farm House, the client agrees to follow all Booking Terms & Conditions, booking policies, venue rules, payment terms, guest responsibilities, and management instructions.
